Add your team, import, HRIS or join link
Employees enter by CSV import, a daily HRIS sync, or a shareable join link where they request access and an admin approves.
Nothing in Employee Advocacy works until there are employees in it. There are three ways in, and they mix freely.
1. CSV import
The fastest first batch. Open Employees and use the import flow. Email is the unique key, so re-importing the same file updates rows instead of duplicating them. A department column populates the department filter straight away.
2. HRIS sync
Connect BambooHR, Personio or Workday once and the directory keeps itself current. Credentials are encrypted server-side, and a sweep runs daily at 02:00 Asia/Baku over every active connection.
A connection that fails flips to an error state so you see the broken connector on your next visit, and the sweep carries on with the remaining rows. Full setup is in Connect HRIS.
3. The join link
The self-serve route, and usually the one that grows the program.
- Open Employees and copy the join link
- Post it where your team already is: an intranet page, a Slack channel, an all-hands slide
- An employee opens it, signs in with their work email, picks a department and requests to join
- The request lands in your pending queue
- An admin approves or rejects it
The link is signed and self-contained, so the URL carries no internal workspace id. It cannot be tampered with, and because it only ever lets someone request, a leak costs you nothing.
Define departments first
Settings then Departments lets you set the list once. It then becomes a dropdown on the join form instead of a free-text box, which keeps “Eng”, “Engineering” and “engineering” from becoming three departments. Leave it empty if you would rather allow free text.
The directory
Each row shows the person, their department, the channels they have connected, their level, their lifetime points and their 30 day advocacy stats. You can filter by department, sort, and export the whole thing to CSV.
Clicking a row opens their detail page: their own posts and shares, their reach, their engagement, and their rank within the workspace.
What the records are
Employee records are classified PII. They live in your workspace only, never surface in public marketplace listings, and are covered by the retention rules in PII classification and offboarding.

Frequently asked questions
Which method should I use?
A CSV for the first batch, then either an HRIS connection if you have one, or the join link so people add themselves as they hear about the program.
Is the join link safe to post internally?
Yes. A leaked link only lets someone request to join. Approval is the real gate, and every request lands in a queue an admin decides on.
Where do departments come from?
The department column of your CSV, your HRIS, or the dropdown on the join form. Define the list first under Settings then Departments to keep it tidy.
Are employees visible on the public marketplace?
No. Employee records are classified PII and never appear in public marketplace listings.
What happens when someone leaves?
An HRIS offboard flips them inactive and starts the retention timer. You can also remove them by hand from the directory.
